Ford & Etal Christmas Market 2025-Terms of Trading

Trading Hours

• The market operates from 10:00 to 16:00.
• Traders who have booked a Pitch are entitled to a Pitch only during specified trading hours (above). Traders who are not set up by 9:50 may forfeit their booking and
will not be entitled to any credit or refund of Pitch fees. In this instance the organiser reserves the right to allocate the Pitch to another Trader.

Set Up and Dismantling

• Traders must set up between 8:00 and 9:50.
• All Pitches must be set up and ready to commence Trade Activity by 09:50.
• All Pitches must be vacated by 17.00 on the final day of trading unless otherwise agreed with the site contact.
• Pitches are not to be vacated until 16:00 unless at the discretion of the organiser.

Waste Management

• Traders are required to remove from the Market on leaving, all rubbish, waste, litter and other items that the Trader has either brought onto the Market or obtained at the Market.
• The rubbish bins provided at the Market are for the purpose of the disposal of litter by the general public and are not available for the disposal of Traders waste or packaging materials.
• At the end of the day’s trade, the Pitch holder is required to clean their site and ensure that it is clear of discarded rubbish and waste materials.

Pitches

• Pitches are space only and do not include any other gazebos or power unless agreed in advance for F&E.
• Traders are responsible for providing all of their own equipment.
• The layout of the market has been predetermined and cannot be changed on the day unless there is an issue and it is agreed by F&E.
• Traders must specify in advance what they will be selling at the market. Anything outside of what has been agreed is forbidden.
• All items of electrical equipment must be PAT tested.
• Traders may use generators with prior agreement. All traders must complete their own risk assessment and bring their own appropriate fire-fighting equipment, with in date testing certification clearly visible.

Health and Safety & Food Hygiene Compliance

• Any trader failing to comply with Food Standards and Hygiene Practices to a level acceptable to any Environmental Health officer in attendance and/or F&E will be asked to leave. F&E will not be responsible for any losses.
• Traders must comply with regulations of the Health and Safety at Work Act 1974.
• A site-specific risk assessment is attached. It the Trader’s responsibility to review the risk assessment prior to arriving on site.
• Traders must notify the market organiser as soon as they become aware of any health and safety issues or hazards that may have arisen.
• It is the responsibility of the Pitch holder to ensure that all equipment brought to the market has been correctly set up and is operated in a safe manner.
• All Traders must hold their own Public Liability Insurance with minimum cover of £5
million. Traders must also have Product Liability and where appropriate, Employers Liability.

Code of Conduct

• Traders and their staff are expected to behave in a professional and socially acceptable manner at all times.
• Verbal abuse or physical aggression will not be tolerated in any circumstances towards any customer, trader or employee.
• Anyone found selling illegal, counterfeit or inappropriate goods will be removed from site and the relevant authorities will be informed.
• The Trader will comply with all the terms contained in this agreement. The breach of these rules may result in dismissal from the market.
• By attending the market, you agree to accept these terms and indemnify PGL Ltd., Ford & Etal Estates and its employees from all legal liability whatsoever if injury occurs to any person{s) as a consequence of any negligent, reckless or improper action or lack of action by you concerning any matter to do with your Pitch.
